Privacy Policy

Nomadmin Sorted ("we," "us," "our") publishes nomadminsorted.com/ (the "Site"). This policy explains what personal data we collect when you use the Site, why we collect it, how it's used, and the rights you have over it. We've written it in plain language on purpose — if anything here is unclear, email hello@nomadminsorted.com and we’ll clarify.

1. Who we are

Nomadmin Sorted is operated as a content and information service for people relocating to Spain and Portugal. For any privacy-related request, the contact point is hello@nomadminsorted.com.

2. What we collect

  • Information you give us directly. If you email us for early access, to report a correction, or with a general question, we receive your email address and whatever you write to us.
  • Newsletter/early-access sign-ups. If we add a signup form to the Site, it will collect your email address and, where you provide it, your target country and moving timeline, so we can email you when the personalized checklist tool is ready.
  • Usage data. Like almost every website, our hosting provider and any analytics tool we run (for example Google Search Console, or a privacy-respecting analytics tool) automatically log standard technical data: your IP address, browser type, device type, pages visited, referring site, and timestamps. We use this in aggregate to understand what content is useful and to keep the Site secure — we don’t use it to build an individual profile of you.
  • Cookies. The Site may use a small number of cookies: strictly necessary cookies (to make the Site function), and — only if you consent, where consent is legally required — analytics cookies to help us understand aggregate traffic. We don’t use cookies for third-party ad targeting.

3. What we don’t collect

We don’t ask for or store passport numbers, NIE/NIF numbers, financial account details, or any other sensitive identity or immigration documentation. The Site is informational — we’re not a portal you log into or upload documents to.

4. Why we process it, and our legal basis

  • To respond to your emails — legitimate interest (running a functioning contact channel) and, where you’ve asked us a question, performance of your request.
  • To send early-access updates about the checklist tool, if you sign up for them — consent, which you can withdraw at any time by emailing us or using the unsubscribe link in any email we send.
  • To understand aggregate Site usage and keep it secure — legitimate interest.

5. Who we share it with

We don’t sell personal data. It’s shared only with the service providers that make the Site work, each acting under their own privacy terms:

  • Our hosting provider (currently Hostinger), which processes standard server logs.
  • An email delivery/newsletter tool (for example MailerLite or ConvertKit), if and when we add one, to send early-access updates to people who opted in.
  • A form tool (for example WPForms or Tally), if and when we add one, to collect signups.

Some of these providers may process data outside the European Economic Area; where that happens, they do so under a recognized safeguard such as the EU Standard Contractual Clauses.

If the Site ever links to an external service as a paid referral (for example, a gestoría, insurer, or bank we recommend) and you click through, that site’s own privacy policy applies to what happens next — see our Terms & Conditions for how we disclose those links.

6. How long we keep it

We keep contact-form and email correspondence for as long as reasonably needed to handle your request and for a limited period afterward for our own record-keeping, then delete it. If you’re subscribed to early-access updates, we keep your email address until you unsubscribe or we launch (and either retire or migrate) that list. Server logs are typically retained by our hosting provider on a short rolling basis.

7. Your rights

If you’re in the EU/EEA or UK, GDPR (and UK GDPR) gives you the right to: access the personal data we hold about you; correct it if it’s inaccurate; request its deletion; restrict or object to our processing of it; receive a portable copy of it; and withdraw consent at any time where processing is based on consent. To exercise any of these, email hello@nomadminsorted.com — we’ll respond within one month, as required by law. You also have the right to lodge a complaint with your local data protection supervisory authority (in Spain, the AEPD; in Portugal, the CNPD) if you believe we’ve mishandled your data.

If you’re elsewhere, we apply the same practices to everyone regardless of location, as a matter of policy.

8. Children’s privacy

The Site isn’t directed at children, and we don’t knowingly collect personal data from anyone under 16. If you believe a child has provided us data, email us and we’ll delete it.

9. Security

We take reasonable technical and organizational measures (secure hosting, restricted access, current software) to protect the data we hold. No method of transmission or storage is 100% secure, and we can’t guarantee absolute security, but we treat this seriously and will notify affected users and relevant authorities of any data breach as required by law.

10. Changes to this policy

We’ll update this page when what we actually do changes, and update the “Last updated” date above when we do. Material changes will be noted on this page; we encourage checking back periodically.
